Trước khi so sánh, doanh nghiệp nên đề nghị các nhà cung cấp trả lời cùng một bộ câu hỏi dưới đây, để chi phí triển khai ERP của các phương án được đặt trên cùng một mặt bằng.

Về phạm vi và người dùng

• Báo giá gồm những phân hệ nào, phân hệ nào chưa có trong báo giá nhưng doanh nghiệp sẽ cần trong 2–3 năm tới?
• Giá được tính theo số người dùng đồng thời hay số tài khoản? Khi tăng người dùng thì đơn giá thêm là bao nhiêu?
• Có giới hạn số chi nhánh, số công ty con, số kho hay không?

Về triển khai và tùy chỉnh

• Số ngày công tư vấn đã tính là bao nhiêu, đơn giá ngày công phát sinh thêm là bao nhiêu?
• Những yêu cầu nào được coi là cấu hình (đã gồm trong giá), yêu cầu nào là tùy chỉnh (tính thêm)?
• Chuyển đổi dữ liệu cũ gồm những danh mục, số dư, giai đoạn nào?
• Ai chịu trách nhiệm làm sạch dữ liệu trước khi chuyển đổi?

Về vận hành sau khi đưa vào sử dụng

• Phí bảo trì hằng năm tính theo cách nào và gồm những gì: sửa lỗi, cập nhật theo quy định mới, nâng cấp phiên bản?
• Khi chế độ kế toán, quy định thuế, hóa đơn thay đổi, việc cập nhật phần mềm có tính phí riêng không?
• Thời gian phản hồi hỗ trợ cam kết là bao lâu?

Về điều khoản thanh toán

• Thanh toán theo mốc nghiệm thu nào (ký hợp đồng, hoàn tất cấu hình, chạy thử, đưa vào vận hành)?
• Khi phạm vi thay đổi giữa dự án, quy trình phê duyệt và cách tính phí thay đổi được ghi ở điều khoản nào?

Doanh nghiệp có thể lập một bảng so sánh, mỗi cột là một nhà cung cấp, mỗi dòng là một câu hỏi trên, rồi điền câu trả lời kèm số tiền tương ứng vào bảng dự toán ở mục 7. Cách làm này giúp phát hiện sớm khoản nào bị bỏ ngoài báo giá, tránh tình trạng chi phí triển khai ERP vượt dự kiến sau khi đã ký hợp đồng.
